1. Who We Are

Wild Tales Journals ("we", "us", "our") is an Australian business that creates personalised photo books from your year of memories. Our service connects to your iPhone camera roll (and in future, other photo sources), uses AI to select the best 400–500 photos from a chosen time period, and delivers a beautifully printed book to your door.

Your privacy and trust are important to us, so we've developed this Privacy Policy (Privacy Policy) to explain what personal information we collect, why we collect it, how we protect it, and what rights you have. Please familiarise yourself with this policy.

2. What Information We Collect

Your account and order details

  • Name, email address, and delivery address

  • Payment details, processed securely by our payment partner (we never store your card number)

Your photos and metadata

  • Photos from your selected time period that you authorise Wild Tales to securely process from your iPhone photo library (and, in future, other sources such as Google Photos)

  • Metadata embedded in those photos, including the date and time each photo was taken and, where enabled on your device, GPS location coordinates

We access only photos within the time period you specify. We do not access, browse, or store any other content on your device.

To perform AI-assisted photo selection, low-resolution thumbnail versions of all photos within your selected time period are securely uploaded to Wild Tales cloud infrastructure hosted on Amazon Web Services (AWS). These thumbnails are used solely for automated photo selection and quality analysis.

Once the AI-assisted selection process is complete, only the photos selected for inclusion in your journal are uploaded and temporarily stored in high-resolution format for editing, layout, printing, and fulfilment purposes.

Thumbnail images are automatically deleted after the selection process is completed. High-resolution images are deleted after your journal has been produced in accordance with our retention policy.

AI-generated data about your photos

  • Our AI creates signals about each photo, such as whether it contains a face, the estimated composition quality, lighting quality, image resolution, and similar attributes, to support photo selection

  • These signals are used only for selection purposes and are deleted along with your photos after your book is dispatched

  • We do not create facial recognition profiles, biometric identifiers, or identity records from your photos

3. How We Use Your Information

To deliver your book

  • Our AI reviews your photos, selects the best 500–800 from your chosen period

  • Your selected photos are lightly edited to create a standardised edit style (brightness, contrast, colour correction) and placed into a Wild Tales photobook template which is sent to our print partner in Singapore to produce and ship your book

  • Your name and delivery address are used to fulfil and track your order

To run and improve our service

  • Process payments and manage your account

  • Send order confirmations, shipping updates, and customer support messages

  • We may use anonymised and aggregated operational metrics to improve our services. Your identifiable photos are never used to train AI models

  We do not use your photos for advertising without prior consent. We do not sell your data. Ever.

4. About Our AI and Face Detection

Our AI analyses each photo to assess quality, composition, variety and suitability. Part of this analysis involves detecting whether a face is present in a photo, for example, to ensure portrait photos are not excluded from your selection.

What this means in practice:

  • The AI detects the presence and position of faces for composition and quality assessment

  • It does not identify who those faces belong to

  • It does not create biometric templates, facial recognition profiles, or any data that could link a face to an identity

  • Face-detection signals are temporary and deleted when your photos are deleted

To support the creation of family-friendly photo journals, Wild Tales uses automated systems to identify and avoid selecting images that may contain explicit, graphic, abusive, or otherwise inappropriate content.

This may include detecting content such as nudity, sexual content, graphic violence, or other material that is unlikely to be suitable for inclusion in a printed family photo journal. These checks are performed solely for content suitability and quality control purposes. Wild Tales does not use this process to identify individuals, infer sensitive personal characteristics, or create behavioural or identity profiles.

While our systems are designed to reduce the likelihood of inappropriate content being selected, automated systems are not perfect and final responsibility for reviewing journal content remains with the customer prior to print approval.

Before printing, a Wild Tales team member carries out a brief quality review of your AI-selected photos. This review is to confirm that the overall selection meets our quality standards. The reviewer sees only the photos selected for your book, not your full photo library. Access is logged, team members are bound by strict confidentiality obligations, and photos are not used for any other purpose. mated processing. Before printing, a Wild Tales team member may carry out a limited quality-control review of selected photos to confirm the journal meets our production and suitability standards. Reviewers see only photos selected for the journal, not the full set of uploaded thumbnails analysed during automated processing. Access is logged, restricted to authorised personnel, and subject to strict confidentiality obligations.

5. Who We Share Your Information With

We share your information only where necessary to deliver our service:

Purpose and what is shared

Applied Colours Pte Ltd (Singapore): Our print partner — receives your selected and edited photos to produce and ship your book

Cloud infrastructure (e.g. AWS): Stores your photos securely during processing

Payment processor (e.g. Stripe): Processes your payment; only the data required to complete the transaction is shared

Analytics tools: Receives anonymised usage data only — no photos are shared

All third-party partners are required to protect your data to standards equivalent to ours and to use it only for the specified purpose.

Our print partner is based in Singapore. Singapore's Personal Data Protection Act (PDPA) applies to their handling of your photos. We have a Data Processing Agreement in place with them governing how your photos are handled and deleted after printing.

We do not sell or rent your personal information.

6. International Transfers

Your photos will be transferred to Singapore for printing. Singapore is not currently on the list of countries Australia formally recognises as having equivalent privacy protections. By using our service, you consent to this transfer. We manage this risk by:

  • Maintaining a Data Processing Agreement with our Singapore print partner

  • Requiring deletion of your photos from their systems within 14 days of dispatch

  • Conducting due diligence on their data security practices

If you are located in the EU or UK, this transfer is governed by appropriate safeguards including standard contractual clauses.

7. How Long We Keep Your Data

Data: How long we keep it

Thumbnail photos: Deleted automatically once the AI selection processing has been completed

AI-selected and edited photos: Deleted within 12 months of your book being dispatched

AI composition signals (non-biometric): Deleted with the AI-selected and edited photos

Order and account information: 7 years (legal and tax compliance)

Delivery address: Deleted 24 months after your last order

Marketing preferences: Until you withdraw consent or close your account

You can request deletion of your account and all associated data at any time — see Section 9. We may need to retain certain records for legal compliance even after a deletion request.

8. Photos of Minors

Our books often contain photos of minors. We treat those photos with extra care:

  • Photos of children are used only to produce your book

  • Our AI detects faces for composition purposes only — it does not identify or profile anyone, including children

  • Access to photos is restricted to authorised staff and our print partner, only as needed

You are responsible for ensuring you have the right to share photos of other people, including children, with us.

Our service is not directed at children under 16. We do not knowingly collect personal information directly from children. If a child has created an account without parental consent, contact us and we will delete it promptly.

9. Security

  • Encryption in transit (TLS/HTTPS) and at rest

  • Strict access controls — only authorised personnel can access your photos

  • Regular security reviews

If we experience a data breach that affects your information, we will notify you and, where required, the Office of the Australian Information Commissioner (OAIC) within 30 days of becoming aware of it.

Australian Privacy Act

We comply with the Australian Privacy Principles (APPs). You can lodge a complaint with the OAIC at www.oaic.gov.au if you believe we have mishandled your personal information. Please contact us first so we can try to resolve it directly.

GDPR (European users)

Our lawful basis for processing your photos is performance of a contract. For marketing, we rely on consent. You can also lodge a complaint with your local data protection authority.

CCPA (California users)

You have the right to know what data we collect, request deletion, and opt out of the sale of personal information. We do not sell personal information.

11. Cookies

The Website and Services may use 'cookies' and other technologies such as pixel tags and web beacons. These technologies help us better understand user behaviour, personalise your user experience, tell us which parts of our Website people have visited, and facilitate and measure the effectiveness of advertisements. We treat information collected by cookies and other technologies as personal information.  We use the following types of cookies:

13. Marketing and electronic messages

There may be times when we may ask whether you would like to receive communications and to be kept up to date on new product information, news and upcoming events. Agreeing to accept such communications is optional. If you change your mind, you can opt out anytime.

We may also from time to time send important notices, such as communications about orders, purchases and changes to our Terms and policies. Because this information is important to your interaction with Wild Tales you may not opt out of receiving these communications.

14. Changes to This Policy

We reserve the right to update or amend this Privacy Policy at any time. If we make any material changes, the amended Privacy Policy will be emailed to existing Account holders and in any event will take effect once published on this Website. If you continue to use this Website or if you make any personal information available to us after we post an updated or amended Privacy Policy on our Website, this will indicate your acceptance of any such changes.
